Job Summary:
- The Scheduling Specialist ensures timely care for participants by coordinating appointments and maintaining accurate team member availability.
- Responsibilities include scheduling, handling cancellations and rescheduling, responding to participant needs, conducting reminder calls, and performing administrative tasks.
- This is a fully on-site role requiring collaboration with colleagues and stakeholders to uphold WelbeHealth values and mission.
Key Responsibilities:
- Coordinate participant appointments, resolve scheduling conflicts, and communicate with stakeholders.
- Manage cancellations and rescheduling requests, ensuring timely updates to all parties.
- Respond to incoming calls, emails, and in-person requests, adhering to documentation standards.
- Maintain and update team member availability in scheduling systems.
- Conduct appointment confirmations and reminders, updating schedules as needed.
- Continuously improve scheduling processes and recommend enhancements.
- Provide guidance to staff on scheduling procedures.
- Troubleshoot and resolve basic issues, escalating to management when necessary.
- Complete required documentation, training, and occupational health screenings in a timely manner.
- Protect privacy and confidentiality of participant and company information.
- Adhere to WelbeHealth policies and participate in quality improvement activities.
- Perform other duties as assigned.
Required Qualifications:
- High school diploma or GED.
- Minimum one year of healthcare experience.
- Proficiency in data entry and experience with multiple software platforms, including at least one year working with an Electronic Medical Record (EMR).
- Strong customer service orientation, especially in telephone and written communication.
- Problem-solving skills and persistence in overcoming challenges.
- Excellent organizational and communication skills.
- Ability to work independently and prioritize in a fast-paced environment.
- Experience working with diverse populations.
- Commitment to supporting vulnerable seniors.
Preferred Qualifications:
- Experience in a PACE (Program of All-Inclusive Care for the Elderly) setting.
