Job Summary:

  • Provide administrative and secretarial support to attending physicians, including answering phones, taking messages, and responding to inquiries about departmental procedures and services.
  • Perform personalized and confidential secretarial duties under the direction of attending physicians.
  • Handle patient calls, schedule appointments, and manage requests for information or contact with physicians and staff.
  • Schedule patients in MOSAIQ/ARIA for departmental and external services, including consultations, follow-ups, simulations, and procedures. Initiate pre-authorization processes when necessary.
  • Complete hospital registration for new patients in Eagle, transfer demographic information to MOSAIQ/ARIA, and prepare department registration in advance of consultations.
  • Prepare and maintain patient charts, ensuring all required records and study results are available for consultations and follow-ups.
  • Obtain demographic and financial information from patients and families professionally and discreetly.
  • Establish and maintain office records, documents, and files. Perform photocopying and prepare correspondence as needed.
  • Provide coverage for other support staff responsibilities when required.
  • Maintain good attendance, punctuality, and a positive attitude while representing the department professionally.
  • Demonstrate problem-solving skills, the ability to work independently, and the capacity to handle multiple tasks and prioritize effectively.
  • Perform additional duties as assigned or necessary.

Required Qualifications:

  • High School Diploma or equivalent.
  • Three to five years of secretarial experience.
  • Ability to type 75 words per minute.
  • Proficiency in computer literacy, including word-processing and presentation software.
  • Strong interpersonal and communication skills with the ability to interact with all levels of personnel.
